Information for Moderators and Panelists

To Moderators and Panelists participating in JET2021 remotely

You are required to participate in your session to be held at the designated time during the period from April 30 (Fri) to May 2 (Sun), 2021, using the Zoom web conferencing system.

Zoom Test Meeting

Please check your audio system on your computer in advance. You can check it from the Zoom test site.

We will set test time for checking the environment of Zoom before meeting.
The schedule and the URL of the test will be announced in advance by e-mail.

Preliminary preparations and Precautions when joining a session

Requests for Moderators and Panelists who will use the Zoom

We strongly recommend to use a stable wired network or Wi-Fi which you have used for Zoom before. An unstable connection will cause poor image quality and choppy video/audio which may affect the presentation.
*
Make sure to close unnecessary apps and programs during running the Zoom app.
*
Please do not set virtual backgrounds and do not connect an external display.
*
Chairs should ask speakers to unmute their microphone to avoid some failures like audio or sharing screen.
*
Please sign in to Zoom via the provided URL an hour before the session starts. Our technical staff will provide support (e.g., sharing slides, adjusting the microphone) from login to the end of the session.

Please make sure to install and update the Zoom application to the latest version.

We strongly recommend to use a stable wired network or Wi-Fi which you have used for Zoom before.

Please access to the Zoom test site to check for problems in audio transmission and reception in advance.

Check in advance that your network environment at the same time of day that you will join a session.
*
If you are using ZOOM more than one device, please make sure to sign out from all devices other than the one you will use to participate in the session.

Please update Windows etc.in advance.
*
Please check the environment before joining the web conference.
*
Please sign in to Zoom via the provided URL an hour before the session starts.
*
An invitation URL, which will be sent by email in advance, must be used to join a session.

Precautions when joining a session

Please do not set virtual backgrounds and do not connect an external display.
*
Please refrain from using built-in speaker or built-in microphone of your laptop; please use a headphone if possible. It is recommended to use a headset (e.g., headphones equipped with a microphone). A headset will make the voices of other participants clearly and prevents problems such as howling caused by echoes.
*
Even if you are asked to turn off your audio, please do not mute from your headphone. Please click the “Unmute” button in Zoom.
*
Please ensure that portable computers are connected to an AC power source before joining a session.
*
Make sure to close unnecessary apps during running the Zoom app.
*
When you speak something, please make sure to unmute your microphone. After speaking, mute your microphone again.
